September 09 Minutes - 2009/10/20 11:26 Minutes of the Peterborough Cycling Club
Committee Meeting
Held on Monday 21st September 2009

Members present:
Richard Roach, Tim Cockerell, Joe Ippolito, Rod Auckland, John Savill, Keith Steiner, Nick Smith, Dave Yarham

Apologies:
John McCarthy, Jeremy Harrison, Chris Harwood.

July Minutes:
The Minutes of the previous Committee Meeting were agreed to be a true record of that meeting.

Matters Arising:
John Savill volunteered to take on the Trophies job.

Correspondence:
Rod had received the annual request for a donation from Sustrans; it was agreed that £20 would be sent.

AGM:
The date for the AGM, 16th November, and a draft agenda were agreed. Committee members and Officers were asked to submit written reports to the Secretary.

Prizegiving 2009:
It was agreed that a suitable date for the 2009 Prizegiving was 7th February. Joe agreed to contact the Stage at Deeping to book the date, get prices etc and report back at the next meeting.

Sportives in 2010:
While there was some feeling for a dedicated Club run Sportive, it was agreed that Nick would first pursue the Club’s closer involvement with the Ride for Ryder event next year, especially as finding a date for an additional event was not easy. A couple of Club members were thought likely to volunteer to coordinate Club Sportive activities, and the Committee welcomed this; an overt Club presence at such events was thought to be worthwhile.

Treasurer’s Report:
Rod reported a current account balance of £1,448 and deposit of £281. The only known liability was a clothing bill for £448. (At this stage, Rod had to leave).

2010 Road Races:
Secretary had applied to run the races on 30th May next year, and would be attending the BC Regional AGM to sort out dates the following Saturday. Although it was a Bank Holiday weekend and bound to clash with something, it avoided the Regional Championships and the Ryedale Grand Prix.

Membership cards:
It was agreed that membership cards would continue to be issued each year.

New Members:
Two new members were approved.

Quartermaster’s Report:
The new kit had arrived and sales were going well, and the Club now held a reasonable stock. A web site list of available clothing would be set up.

Road-Race Secretary’s Report:
Road Race Secretary was not present.

Time Trial Secretary’s Report:
• The first hill climb was due next weekend. Dave could not be there, but 2 timekeepers were available. Bourne Wheelers would be joining us.
• The Club 10s had finished for the year; there were 18 riders for the last one.
• Dave proposed to change the course for the one of the longer TTs, to avoid Helpston, and this was welcomed. It would be reported to the AGM.
• Dave thanked those who helped on the Open 10, which had gone well. There were 52 entries and a small profit was made.
• The winter programme was agreed and would be published on the web site.
• It was agreed to run 2 Open TTs again in 2010, one being the end of August 10, which might be run from the Sawtry end. The other event would probably be the 15 again, this time as an NDCA event on July 17th. It was hoped the Chairman would organise one of the events, but someone was needed to run the other one. Dave was working on it, as decisions were needed soon.
• Joe raised again the possibility of an Open 2-up, but the Committee preferred inviting local Clubs along to our 2-up, and this would be the case for 2010, at least.
• More PCC riders had ridden Open TTs this year, but it would be good if even more took part; getting members together on a Club night in early 2010 to pick out some likely events was thought a good start.

Press Secretary’s Report:
Press Secretary was not present.

Any Other business:
None

Date of the next Committee meeting: 19th October.

There being no further business the meeting closed at 2120..
