July Minutes - 2008/08/27 11:01 Minutes of the Peterborough Cycling Club
Committee Meeting
Held on 14th July 2008

Members present:
John McCarthy,Tim Cockerell, John Savill, Norman Hill, Joe Ippolito, Gary Gwynn, Richard Roach, David Yarham.

Apologies:
Jeremy Harrison, Rod Auckland, Keith Steiner

The Minutes of the previous Committee Meeting were agreed to be a true record of that meeting.

Matters Arising:
• The ride for ryder event date had changed to Sunday 14th September.
• the three Open Events had all gone smoothly.
• the President had not contributed to the Radio Cambridgeshire broadcast about cycle lanes, as a Clarion representative had contributed.
• handover of Club clothing to Richard Roach had been effected, albeit without an inventory, and the new Quartermaster would announce this on the Club website.
• Chairman reminded the Committee he would soon be seeking support for the Open 10 on 30th August.

Open Events:
The Stilton Village Hall and two timekeepers had been booked for the Open 10.
Secretary (Event Organiser) outlined the support he would need to run the Open Road Race on 7th September successfully. This was considerable, as the 2 Chief Commissaires had listed their requirements for supporting vehicles, which were considerable. HQ and a mobile first-aider had been booked. A difficult requirement was the need, ideally, for 8 radios. The Chairman and Secretary would liaise to trial a possible capability at modest cost.

Clubroom:
The Scouts had announced an increased fee for the use of the room to £20 from September. A long discussion reached the conclusion that continued use of the room each week was untenable in view of the cost and the relatively low attendance. Secretary was waiting for the Scouts to say if reduced use, say every other week, was acceptable, though this would still be costly but would provide a venue for Committee meetings. A decision on the future use of the Clubroom would be made at the next meeting.

Mars Refuel Fund:
Secretary reported that he had applied on the Club’s behalf for a grant from this new fund, tying it to the ride for ryder event. http://www.marsrefuel.com/index.aspx

Newsletter:
Secretary had received no contributions for the 3rd Newsletter of the year, which he would like to issue soon. Although many members could refer to the website for much Club news, there was a significant number of members without web access for whom the Newsletter was important. Contributions, please!

Treasurer’s Report:
Treasurer was not present.


Quartermaster:
See matters arising for news of the new Quartermaster.

Road-Race Secretary’s Report:
Road Race Secretary was not present.

Time Trial Secretary’s Report:
The Cub Championship was well advanced with just the hill-climbs to come, and all results were on the web site. Some members had been riding Open events, including a 100 miler by John Dawson. Thursday evening TTs had been well supported, as had most of the Hereward series.
All needed to note that applications to run Open Time Trials in 2009 needed to be decided at the next Committee Meeting, so volunteer organisers would be needed.

Press Secretary’s Report:
Press Secretary was not present.

New Members:
The Committee approved one new membership application.

Any Other business:
• Joe hoped we would try the proposed new 10 course this year. Dave said most reaction had not been positive, but agreed to set one up, probably for the last in the season.
• Dave was owed money from the Open 25; no accounts had been seen for the event, and Dave would deal direct with the Treasurer.

Date of the next meeting: 18th August.

There being no further business the meeting closed at 2110.
