June Meeting Minutes - 2007/06/25 14:15 Minutes of the Peterborough Cycling Club
Committee Meeting
Held on 18th June 2007

Members present:
John McCarthy, Tim Cockerell, Dave Yarham, Norman Hill, Joe Ippolito, John Dawson, Rod Auckland, Keith Steiner, Richard Roach

Apologies:
Jeremy Harrison, Alex Harrison

The Minutes of the previous Committee Meeting were agreed to be a true record of that meeting.

Matters Arising:
The Club is still not aware of any advantages accruing from BC moving us to the Eastern Region, but the Committee felt, at least, that there would be no significant disadvantages. It was agreed that the situation would be monitored for a year.

It was hoped that details of pick-up points/times etc for the Tour de France trip would soon be widely available; some travellers do not have access to the website. There were few, if any, seats still not taken up.

Obtaining a trophy for the Bernard Kelly event was still in hand.

Correspondence:
BBC Radio Cambridgeshire had asked if the Club had any views on solar-powered lighting of cycleways, but no one had experienced this, so no comment was possible. The Secretary would communicate this to the BBC, and would seek their help in publicising other Club events.

Come and Try It Time Trial:
The Helpston Scout Hall had been booked for Thursday 19th July from 1800 to 2100. Some confusion over insurance remained to be resolved by Dave Yarham. This event will replace the Club 10 for that evening.
CTT South Midlands had approved the event, and Dave had received some publicity material and event completion certificates.
The course would start just outside Helpston, to Bainton, Ufford and finish on Heath Road; about 6.5 miles.
Publicity would be important. Secretary offered to help with the leg work in conjunction with Alex Harrison. BBC Radio Cambridgeshire might help – President would take care of this.
Parental consent would be required if parents not present; admin of this tbd.
Helmets would not be compulsory, but participants would be encouraged to wear them.
Free refreshments would be provided, and it would be important to have interesting displays in the Hall, plus bikes etc, to encourage interest in the Club and cycling in general.
In case of exceptional interest (pre-entry not required), entries would be restricted to 60, or thereabouts.
Chairman offered to look after course signage.
No prizes would be awarded, but certificates for all completing the course.
It would be essential to have maximum support from Club members – lots of marshals, general encouragement both on the course and in the Hall.

Questionnaire:
It was agreed that a questionnaire designed to discover Members’ views on some issues was a good idea, and a draft provided was considered to be a good basis for this. It would be circulated by e-mail, and be available at events such as the Tour de France trip and Come and Try It.

Treasurer’s Report:
All was well, with £1,273in the current account and £269 on deposit. The Treasurer was still trying to sort out sensible interest arrangements with the bank.

Quartermaster’s Report:
It was agreed that an order for new clothing could be made in the near future. In the meantime, members should be encouraged to place orders to boost the amount to be obtained.

Road Race Secretary’s Report:
RR Secretary was not present, but arrangements for the next evening’s NCRA road race appeared to be fragmented, at best. Various commitments were made to ensure it was properly run. (Secretary’s note – in the event the race went off smoothly; thanks to all helpers). To avoid confusion in future, this topic would be on the agenda for the next Committee meeting.

Time-Trial Secretary’s Report:
Our round of the Hereward series had been difficult because one Club had not sent entries in good time. A harder line would be taken in future if this occurred again; a pre-prepared start sheet was necessary if the event was to run smoothly.
Brett Harwood had finished well up (in the thirties) in both the National 10 and 25 Championships; the Committee sends its congratulations.
The Beardsall Cup and Scratch 20 had been run successfully and results were on the website.
One Club member was competing in many open events (but not Club events). More participation by members in open events would be desirable, particularly if they reported results to the TT Secretary.
Mention was made of the Sleaford Wheelers Nev Crane Memorial 25 on 15th July as a worthwhile Open event for members to consider (details on our website).

Any Other Business:
John Dawson wondered if the Club could run an Open 25 next year on a Stilton based course. This was worth considering, and would be looked at in more detail at the next meeting.
Club Captain reported on encouraging support he is giving to a potential new member.
Secretary wondered if we should be giving thought to dates/venues for the AGM and prize-giving. He would discuss with Press Secretary with a view to, perhaps, making decisions at the next Committee meeting.

Date of the next meeting: 16th July. There being no further business the meeting closed at 2125.
