2008 AGM Minutes - 2009/11/23 14:14 Minutes of the Peterborough Cycling Club
Annual General Meeting
Held on 17th November 2008

Committee Members Present:
Alex Harrison, Tim Cockerell, Dave Yarham, Richard Roach, Rod Auckland, Keith Steiner, Joe Ippolito, Jeremy Harrison, Terry Wright, John Savill.

Members Present:
Nine other members were present.

Apologies:
John McCarthy, Ray Needle, Brian Charmley, John Broughton, Andrew Alexander.

Club Photograph:
Before the Meeting began, all members present assembled for a Club photograph. Thanks to Philip Harrison for doing the David Bailey honours. The Meeting proper began at 1945.

Welcome Address:
The President welcomed those attending, and expressed appreciation of the work done by all our volunteers.

2007 AGM Minutes:
The Vice-Chairman (John McCarthy was indisposed) read the minutes of the 2007 AGM which were accepted as an accurate record.

Chairman’s Report:
John McCarthy was unable to attend, but submitted a written report which Alex read out; it is attached.

Committee Members’ Reports:

• Vice Chairman/Press Secretary. Alex’s report is attached.
• Secretary. Tim’s report is attached.
• Time Trial Secretary. Dave’s report is attached. In addition there was discussion on 3 topics: The concensus was strong for sticking to the current 10 TT course, but suggestions for change would be considered. Although longer TTs were less well supported, there was no mood for a change in the present programme. Although the second (Seaton) hill climb was abandoned (only one rider turned up), it was decided to keep it in the programme while trying to deconflict it with other popular events.
• Road Race Secretary. Jeremy’s report is attached.
• Quartermaster. Richard had taken over from John Dawson and hoped to put an order in soon for new clothing. His report is attached.
• Club Captain. Joe’s outline report is attached.
• Treasurer. Rod’s report is attached. He had been unable to get an audit done, but finances were on an even keel and Richard could put in an order for new clothing.

Events in 2009:
It was agreed that Prizegiving would involve a similar format to last year, in the same venue, but a bigger room; date 1st February, to be confirmed.
During the year the Club would run an open road race, 2 open time trials, help with the Ride for Ryder sportif, run 2 NCRA events and help with the LVRC road race.

Club Subscriptions:
There would be no change in subscriptions for 2009, but members were warned that by 2010 the £15 subscription to enter all Club events during the year might have to be raised.

The Clubroom:
The change to Clubroom hire from every Monday evening to the first and third Monday of each month would save money. It was important that good use was made of the first Monday for Club nights, the third being used for Committee meetings.

Election of Officials and Committee for 2009:
The President, Chairman, Secretary, Club Captain, Road Race Secretary and Time Trial Secretary were all willing to continue in post; there being no other nominees for these posts, their continued services were confirmed. Richard Roach had taken over as Quartermaster during the year and he was confirmed in post. Alex Harrison regretted that he would have to stand down as Vice Chairman and Press/Trophies Secretary. Richard Roach agreed to take the Vice Chairman post, which was confirmed. Ian Wild agreed to take over as Press Secretary, also confirmed. Trophies would be managed at Committee level for now.
Three new Committee members were elected – Chris Harwood, Nick Sayer and Nick Smith.
There was no change to the Club’s timekeepers, handicappers and Kelly Cup Adjudicating Committee.

Any Other Business:
Chris Harwood asked that the event distances on the web site be brought up to date.
There was then considerable discussion about how handicapping was done for Club events, especially for those other than 10 miles. No firm conclusions were reached, except that this topic needed further action; it will be taken at the next Committee meeting.
