Committee Meeting
Held on Monday 11th May 2009

Members present:
John McCarthy, Richard Roach, Tim Cockerell, David Yarham, Joe Ippolito, John Savill, Chris Harwood, Ian Wild, Norman Hill, Nick Smith, Rod Auckland, Nick Sayer

Apologies:
Jeremy Harrison.

April Minutes:
The Minutes of the previous Committee Meeting were agreed to be a true record of that meeting.

Matters Arising:
Rod was making progress on sorting out place to place records, and would photo copy them for Committee perusal.
Some 6 members had still not paid their 2009 subscriptions, though it was thought that one of them was unlikely to renew.

Correspondence:
Nil

Closed Circuit:
Secretary said this topic was in abeyance for now, though there was one possible avenue opening up; more would be known in a few months time.

4 Jun City Centre Race, 7 Jun Road Races, Bike Week:
The now crowded June schedule of events was given a deal of attention. Secretary had since sent an e-mail to all members outlining the Club’s involvement in these 3 events; this is attached and includes the information that the decision was taken to cancel the Helpston TT on 4 Jun.

Treasurer’s Report:
Club finances were reasonably healthy, and clothing income continued to come in, meaning that the current account stood at some £1,100 with no substantial bills to meet. Deposit account remained at £281.

Quartermaster’s Report:
As the new stock of clothing was being sold, it would be necessary to put in another order this summer.

Road-Race Secretary’s Report:
Road Race Secretary was not present.

Time Trial Secretary’s Report:
The Sunday two-up TT had been well supported, as had all the Thursday evening events. Nick Sayer had achieved some commendable times in Open events, and also won the Smith Cup.
Dave reminded all that the Thursday evening event on 21st May was our round of the Hereward series, and would need supporting marshals.

Press Secretary’s Report:
Nothing to report.

New Member:
The Committee endorsed two applications for membership.

Any Other business:
• Nick Smith was concerned about the lack of inputs he was able to make for this year’s Ride for Ryder in September, and would withdraw the Club’s official involvement in the event. Instead he hoped to establish a PCC run Sportif which could make a contribution to Thorpe Hall. The Committee was for the proposal in principle; Nick would bring a more detailed plan to the next meeting.
• Ian reminded all that the Club would be running the NCRA Race on Tuesday 30 Jun, and the usual support would be needed.

Date of the next Committee meeting: 15th June.
There being no further business the meeting closed at 2110.

JUNE
Apologies to those on this Club e-mail list I’ve already approached about the issues that follow, but this is the easiest way to get information (and pleas for help) to most Club members. Last September was a bit hectic with 3 events close to one another demanding Club member support, so the Road Races were moved to June to avoid calendar saturation. Unfortunately, since the Road Race application (had to be made last Autumn), two other important June events have raised their heads. What follows is intended to keep you in the picture, to allow you to participate in worthwhile events, and to ask for your support at a busy time.
June 4th Many of you will know that this is the date for the City Centre evening race, which alone would have justified a visit to Peterborough that day. But so much more is happening that day, thanks to an enlightened and dynamic response by the Council and the Greater Peterborough Partnership. I don’t have space here to list all events, but the City Centre is dedicated to cycling activities from 1100 onwards, including the Cathedral Green and Cloisters. Keep an eye open on local publicity for full details. This Club will be fully involved, manning a stall all afternoon next to the Rollapaluza event, probably near Starbucks. I’d be grateful for help at the stall by anyone who can spare an hour or so between 1100 and 1800. At some stage, probably about 1530, the race circuit will be available for local Clubs to ride round for half an hour or so; it’s possible that Clarion will organise an event of some sort. At 1700 there will be a big parade around one circuit of the course, involving Clubs, vintage bikes, schools and many more. I’d be grateful for volunteers to join the parade on their bikes, in Club colours, to give the Club healthy representation. The race starts at 1900, and we may be asked to provide marshals – an opportunity to get a good view of the proceedings.
Because of this event, the Helpston 10 that evening is being cancelled. One of our members is looking at the possibility of organising a replacement competition on the Rollapaluza. No entry fee is involved and it’s great fun, so watch out for details if it proves a goer.
June 7th Our road races at Sawtry, once again generously sponsored by Baxter & King Construction. I am still looking for volunteers to marshal, and particularly for 2 or 3 to use their own cars to follow (with Commissaires) or lead the race. If you are a BC member, I can get you insurance cover for the event. Other helpers on the day would be welcome – there is much to do.
June 16th This is a National Bike Week event, once again receiving significant support from the Council. Although it’s the week of the East of England Show, the Showground’s MD has been particularly helpful and supportive in allowing us to use a brand new car park area for a Come and Try Time Trial. This starts at 1800 and will finish at 2100. We’ll have discrete access to the area, there will be a marquee, toilets and food stalls. Timekeepers have already volunteered, but we’ll need some marshals and recorders. If lots of you turn up (hopefully in Club colours) we can rotate marshals to give you a break. This is a splendid opportunity to attract younger potential members to time-trialling in a safe environment, so please support it. The Council is doing much to publicise it, but we could all help by spreading the word. I can send a poster or 2 if any of you want them. Prior to our event, Alison Lilley (BC Eastern Go-Ride Officer) will be running an event there, probably from 1600 onwards.
