Committee Meeting
Held on 16th June 2008

Members present:
John McCarthy,Tim Cockerell, John Savill, Norman Hill, Joe Ippolito, Rod Auckland, Keith Steiner, Gary Gwynn.

By invitation: Nick Smith and Helena Waters (Sue Ryder Sportif), Ian Wild (NCRA road race), John Powell and Zed Dhanji (LVRC road race).

Apologies:
Terry Wright, Jeremy Harrison, Richard Roach, David Yarham.

The Minutes of the previous Committee Meeting were agreed to be a true record of that meeting.

Sue Ryder Sportif:
Nick Smith and Helena Waters (Sue Ryder/Thorpe Hall fundraiser) were present to seek the Club’s help in organising a Ride for Ryder Sportif in September. There would be 4 courses, 2 short local ones to be organised by Thorpe Hall and 2 longer ones (55 and 83 miles) for “serious” cyclists. Thorpe Hall was not allowed to organise the longer timed events and our Club was asked to be the umbrella organiser for them.
Basic information about the longer events:
• Saturday 13th September am start. (Secretary’s note: since the meeting, the day has been changed to Sunday 14th September).
• £20 entry (may be refunded for those raising a certain level of sponsorship funds).
• HQ at Thorpe Hall.
• 200 rider limit.
Our Club’s main contribution would be to put out signs before the event, coordinated by Nick, so that on the day many of our members would be able to ride. There would also be facilities at Thorpe Hall for a Club stand. Although this would be the third weekend in a row requiring significant Club input (Open 10 and Road Race) the Committee fully supported Club involvement in a worthy cause and thanked Helena for attending.

NCRA Road Race:
Ian Wild attended to solicit support for the NCRA Road Race on 1st July. HQ would be at Southwick Village Hall, and the usual course ridden. He now had sufficient marshals, drivers, and Secretary would bring signs and run the refreshments. The race started at 1915; marshals please arrive in good time.

LVRC Road Race:
John Powell and Zed Dhanji attended to solicit support for the LVRC Road Race on 13th July. HQ would be at Sawtry Village Hall, and the usual course ridden. Sufficient marshal volunteers were available and they were asked to be at HQ for briefing at 0900 for 1000 start. John would collect signs after the NCRA race.

Correspondence:
Secretary had been contacted by BBC Radio Cambridgeshire for comment on cycleways in Peterborough; the President agreed to follow this up.

Open 25:
This had gone well, and the president expressed his thanks to all involved, and in particular to Dave Yarham and John McCarthy.

National 25:
Our Club had contributed well to a successful event.

September Road Race:
Secretary (race organiser) reported on a fruitful meeting that morning with Mr Geoffrey Baxter of Baxter & King Construction. He had agreed to sponsor the race to the extent of £1,000, which would enable the Club to offer outstanding prizes, thus attracting a high-class field. The Committee expressed its gratitude for this generous offer; the Secretary would write to convey this thanks.
Secretary distributed a draft budget and prize list for the race. Some amendments were agreed after a useful discussion. Thanks were expressed to Joe, who had initiated the contact.

Treasurer’s Report:
There was £562 in the current account and £277 on deposit. Income from clothing sales had been only slowly coming in.

Quartermaster:
Quartermaster was not present. Because of his new job, the Quartermaster’s duties needed to be handed over, and Richard Roach had indicated willingness to take it on. This needed reasonably urgent action.

Road-Race Secretary’s Report:
Road Race Secretary was not present.

Time Trial Secretary’s Report:
Time Trial Secretary was not present, away on holiday.

Press Secretary’s Report:
Press Secretary was not present.

New Members:
The Committee approved one new membership application.

Any Other business:
• Keith would soon send an article for the next Newsletter to the Secretary. (Secretary’s note – more offers would be most welcome , preferably before the next meeting).
• The Chairman reminded the meeting that he would be needing much help to run the Open 10 on 30th August.
• The Committee normally does not meet in August, but because of 3 consecutive weekends of events in late August/early September, it was agreed that an August meeting would be necessary this year.

Date of the next meeting: 14th July.

There being no further business the meeting closed at 2055.
